No doubt we’re living in a very distracted world. Therefore focused work becomes more rare. While we get distracted and we also distract others. With all the available theology we are used to get the necessary information fast. So if we want to find something out, there is Google. (Love this Reel from Marie Forleo, just for fun). If we want to know what our friends are doing, there’s FB and IG and other platforms. Through Whatsup you can connect with your contacts in second. You get the idea.

I’ve said it before and will say it again: spending even 2 hours a day in focused action is a hard work. Unfortunately we tend to decrease this time while making it harder for ourselves to flow in it. 

The good news is that there are many things you can do about it. Your work quality depends on your focused action, it’s undeniably important to increase the focused work for your benefit. 

Good News #1

Flow generates happiness. Your goal is to achieve the FLOW, where it seems like the time stops and you can just go on for days without a pause. Ideas are flowing and you’re inspired to continue the work – that time when you really are producing value. It stretches you while rewards at the same time. 

To go into this focused state of work you will have to turn off all the distractions. I have wrote many articles on the topic to give you a spectrum of ideas on how to achieve that. Every interview that I’ve done Distractions seem to be the common theme. Couple of examples below to get you started.

Bottom line is that you’re in charge and you have the power over all the aspects in your life, including distractions.  

Good News #2

Focused work is rewarding in itself. In 1980 study that psychologist Mihaly Csikszentmihalyi (yes, I know, can’t read that either) and his colleague Reed Larson concluded was against what most people believed to be true:

“Ironically, jobs are actually easier to enjoy than free time, because like flow activities they have built-in goals, feedback rules, and challenges, all of which encourage one to become involved in one’s work, to concentrate and lose oneself in it. Free time, on the other hand, is unstructured, and requires much greater effort to be shaped into something that can be enjoyed” from“. I have came across this wisdom in “Deep work” by Cal Newport. It Is a book that I suggest you read. 

Good News #3

You already have everything you need. Be aware of your mind playing tricks on you. Remember that you are in charge of your mind, it is not in charge of you. Motivating yourself by feeling the outcome of your focused work, will keep your mind in check for the goal.

Our mind is a tough little cookie that has enslaved our bodies to keep it safe and comfortable. As soon as something out of ordinary happens, it wants to keep us in a safe distance form the unknown.

Your job is to train your body to follow your mind and not the other way around. Most of us live by following our bodies urges. That creates our routines and down the life goes without even realising that master has become the one who gets mastered. Taking charge of thoughts will open whole new doors for focused work. 

As focused work becomes more rare in our daily lives, it also becomes more and more valuable for quality. While it is nothing out of ordinary, it can bring a great discomfort when working on increasing the focused work time. It is definitely something that will stretch you, but by concentrating you will loose yourself in it.

How to get in control of external triggers and why?

Let me answer the second question before we dive into  “control” part. However, I’m pretty sure you already know the answer. With the information overload, it’s not surprising that our minds get busier, therefore we get more tired and exhausted. We are targeted every time we’re on our devices. Notifications innocent agenda to keep us informed has turned into a major issue to our productivity. Because all they do is puts unnecessary information in our heads. They distract us from focused action and take our attention away from truly important tasks.

If you have seen my posts and read my previous blogs, you know that it is our decision to allow distractions to interfere without daily lives. You know that discomfort is what keeps us reaching towards distraction because we simply are designed to avoid pain.

In short, hacking back on external triggers allows you to be more attentive, focused, present, productive, and such a better manager for your business and life.

    1. Control your gadgets. Although we couldn’t imagine our lives without them, they can highly interfere with our focus. Disconnecting can leave a devastating effect on your business, however, you don’t need to be “connected” all of the time. Choose wisely what deserves your time, energy, and attention. Leave the rest outside the door.
    2. Control your calendar. You are in charge of your daily routine – whether you want it or not. I know that it might not always be easy to accept that. Once we decide to be in charge, there is no one else to blame for whatever goes wrong. We are fully responsible. The beauty of it – freedom. Suddenly you can change course and give yourself permission to say “no” to things that are not in alignment with your goals. You can schedule tasks that are of strategic importance to your business growth without defending your decision.
    3. Control your mind. This is the tricky part. Often we don’t realize how big of a part our mindset plays in our daily lives. Our actions are often triggered by us trying to avoid discomfort. However once we step outside that come place – growth happens.

I hope my formula helps you get more clarity around your control of the outside triggers. At the end of the day, you are in charge of everything that is happening to you, including outside noise. Even though it might seem that it’s unavoidable, a constant fight with it will not result in your favor. This is why it is smart to look deep in yourself to understand why certain things trigger you more than others. Only that way you will be able to get fully in charge of those external triggers.

When distractions cut down on your productivity it’s easy to get overwhelmed and switch focus on unimportant tasks and start consuming more than creating. This is when SIMPLE moves away and COMPLICATED comes in giving you more of what you don’t need – frustration.

Here are 5 ways how you can make your life more simple today

  1. Declutter your home – get rid of anything you are not using. Don’t keep things just to have them with a thought that you will use it some day. That day might never come, so be wise with the stuff you fill your space. Because your space is important for your wellbeing. The less clutter you will have, the more at ease you will feel.   2. Organise your workspace – keep things where they belong so you don’t waste time trying to find them. The same applies to your computer and phone. To help you do that here is my free audio on How to Organize Anything where you can learn 3 steps to less chaos.
  3. Cut out time wasters – step back and analyse a bit what takes your attention away, what stops you from completing your day’s goal, what gives you that feeling at the end of the day when you have done a lot, but haven’t achieved anything meaningful.   4. Get rid of distractions – while there are a lot of things that distract us every single day, we are not without fault here. We are the ones letting ourselves get distracted thinking “it will just be a minute” turning out to another hour of wrong focus.   5. Make to-don’t list. Doing less of the things you shouldn’t be doing will highly increase your productivity leaving you with a more simple and stress free life. To help you make one, here is my take on what should be on that list.

Last, but not least, learn to say “no”. Prioritize yourself. You can’t do everything. Find out what’s really important to you and focus on those activities.

Create your own to-don’t list

to super-boost your productivity

All different circumstances that we have, believes that we have grown up with, influences that we are following, new habits we are adopting….all that is shaping our reality.

That reality consist of things we do and things we don’t do. How to choose what is write? How to know what actions to take and what to leave behind?

In todays world with information overload, thousand of suggestions to do more and more things, I think it is time to make an inventory and really start doing LESS.

You might know that to-do list is an amazing way to get things out of your head and on to a paper to clear your mind, so you have more space to work on your genius rather then occupy yourself trying to not forget your next step.

And how good does that feel, when you cross out or check off a task?? (It’s the best!)

However so many of us still struggle to reach deadlines and find hard to focus, have thousand thoughts running through head and our to-do lists seems never ending…

Is it because even though we do our to do list, we also do things we know we shouldn’t do!

What goes in to this list?

1. Things you like doing but you don’t need to do.

2. Things you keep doing although they are not that important.

3. Things that you think you need to do but that are not really necessary.

Creating a list of the things that distract you during the day will make you more aware and better prepare you for avoiding distractions.

When you don’t think about what you shouldn’t do then it’s much easier to get distracted and waste time doing things you shouldn’t do while things on your to-do list go undone.

So let me help you with basic things you should include on your list to super-boost your productivity so you are able to focus on what you actually should be doing:

1. Don’t work in a distracting place.

If you ave an office, it should be the most inviting, motivation and inspiring place where you are in the zone to create. (more not that in my other blog about home office). If there is anything that takes your attention away, you should get rid of that. If you get easily distracted, try avoiding working n coffee houses, on your couch next to tv or other places where you KNOW you will not be productive. It is not a atome science, your working space defines your productivity, so make the most of it and do yourself  favour by choosing wisely where you will work on your genius.

2. Don’t spend time on social networks.

While for most of us networking is part of business, it is very easily to get distracted and start stalking people. If it is the case for you, make sure you designate time that you spend on socialising for work and for pleasure. For really productive day you should not spend more than 15 minutes on social media for pleasure. If you need to work on Facebook, then focus on your work and once finished, close it to move on to the next task.

3. Don’t leave your email open all day.

It is proven that notifications are our biggest distractions. Weather they are coming from your email or any app you may have on your laptop or phone, they cause disruption in your creative flow. I have always suggested to turn off all notifications, but when it comes to emails it is super important. Without designated time specifically to work on emails, we might as well spend all day checkin our inbox, answering as soon as new email comes in while trying to complete other tasks. Designate time in a day when you are dealing with your emails, instead of dragging it out through out the day. There are many different tools that can help you to work on your email with better effectiveness, like Boomerang. This way you will be able to focus and deal with more emails in shorter amount of time and create extra time for what ever you want! How cool is that?

4. Don’t help everyone who asks.

Yes, might sound harsh, but hear me out. Your inbox might be filling with offers, request, suggestions and invitations. Your job is to filter what is serving your and what doesn’t. I am very well aware of a want to help everyone. However it is physically impossible! It is the good old “learn to say NO” truth that liberates. A good way to filter is to make a list on what interest you, what you would like to participate in, what serves your business and therefore your legacy on helping others. If the request you receive is not in your wheelhouse, don’t think about it too much, politely decline and move on.

5. Don’t spend too much time on your to do list.

It is understandable that you want to be careful on what goes on it, but this should be a fairly quick task without taking hours of your time. 15 minutes daily should be more than enough to be clear on your tasks for the day.

Work efficiently,

even when everyone's at home..

A lot of things have changed for so many of us and I have to say that this worldwide “Situation” will stay in our memories for some time.

While many of you have been working form home before, things still might be quite different for one reason – all your family is at home with you!

That might be something new – now you have to adapt and be able to work while everyone’s at home.. Meaning, you have to make sure they are allowing you to work, you have to find time for them and for yourself as well.

So let me give you couple of suggestions on how to work more efficiently from home..

We each are in slightly different situation in our lives, in our homes, in our businesses. That being said, since we all have to be at home now, the following tips might highly increase your work productivity. Be aware that not all of them will be applicable to you, so take what resonates and leave the rest.

1. Work from home is still a work, so treat it like one. It is so easy to get lazy, sleep in, get to your laptop in pjs. Lets be honest here – that will not grow your business, increase produtivity and inspire your family. So get up at the same time, do your morning routine, get dressed and treat your work from home like a real work.

2. Set a time for your work. Start and FINISH time. That will prepare you mentally to work more effectively.  This will also give your family a structure to respect, so you can fully concentrate on what needs to be done and use the time solely on your work. Establish your office hours and communicate your expectations with anyone who are at home with you.. That will help you keep the focus on work. And for your family members that will signal that seriousness of what you do.

3. The space you work in is supper important. I speak more about that in my video here. But in short, your working place either motivates you or it doesn’t. So to work more productively during the time that you have set for yourself, the space you work in needs to be inviting, motivating, inspiring or making you feel how you want to feel when you are in the process of creation. It involves a lot of basic things like lighting, plants, vision board, etc. Do what ever makes you inspired.

Side note: Having an office space might work for some, but there are times when you just feel stuck. What to do? If it is possible, change your work place. Sit on a couch or work on a balcony to mix things up and to get inspired and uplift your mood. As long as these changes doesn’t distract you, your are good to go.

4. Take a break and move around at least every hour. Sitting too long by your computer will lower your focus, motivation and inspiration. So try to sand up and move around, stretch, make a tea, go and soak up some sun on the balcony, just move. But if you really want to shake off the routine – do quick running in place, frog jumps or dance. That will for sure shake of all distractions. 

5. While background music doesn’t work for me, it might be a great motivator for you. I have spoken with many women who are using inspiring music to help them focus and get in to the mood. Something to try, if you have not already..

6. As difficult as it might be to concentrate when working form home, begin your working day with most important tasks. Like that you will jump start your day efficiently and the rest will follow in alignment with your energy. Schedule your calls, meetings in the afternoon, after your have finished your most important tasks. If work from home is new to you, try to do video calls instead of phone calls — that way you will get can more connection and some social interaction.

7. Don’t let the online space be the first thing you do in the morning – that will highly distract you from your most important tasks. Create first, then consume. You’re phone should be put on silent during your work. And if you think that your phone doesn’t distract you, think again and be honest with yourself and write down every time you are trying to work and end up scrolling your IG? A great way how to avoid this distraction is to schedule times for when you check emails and social media.
